THE ROLE

As an Administrative Assistant for the Senior Manager Personnel Support Programs they will ensure the collection of necessary documentation and arrange topic briefings in preparation for conferences, meetings, and appointments. They provide clerical support for the Senior Manager including data entry, word processing, faxing, photocopying, correspondence, distribution and follow-up action. They organize meetings, advise attendees, draft and distribute agendas and minutes. They schedule and arrange appointments, meetings, and travel schedules. They provide administrative support for budget, taskings and campaigns. They assist the Mess Manager with inventory, accounting and clerical support.


QUALIFICATIONS NEEDED

Education, Certifications and Licenses

College diploma or certificate in Business Administration, Accounting, Office Administration or a related field AND some years experience in administration or in a related field.

OR

High school diploma and several years experience in administration

Experience

In office administration

In data entry, data manipulation, record-keeping and retrieval techniques

In maintaining filing systems

In drafting correspondence and reports

In basic accounting

In organizing meetings, events and conferences

In transcribing notes and minutes taking

In making travel arrangements and travel claims procedures

In preparing presentation materials

In using software for word processing, spreadsheets, presentations, databases, e-mail and Internet browsing

Competencies

Client focus, organizational knowledge, communication, innovation, teamwork and leadership


LANGUAGE REQUIREMENTS

English Essential / Bilingual (English and French) an asset

Reading: Advanced

Writing: Advanced

Oral: Advanced
