Job Description:

 

The incumbent will work with Shareholder Services team on unclaimed asset programs, deliver services in response to routine shareholder inquiries, and assist in the coordination of quarterly report mailings to shareholders. The position requires effective and accurate communication with internal and external stakeholders, including shareholders, policyholders, the Ombudsman’s Office, the Transfer Agent, Call Centres and Business Groups. In addition, the incumbent will maintain routine datasets and perform data reconciliation.

 

What will you do ?

  • Assist the Shareholder Services team with managing unclaimed shares and dividends assets and related records:
    • Validate client records appropriately in collaboration with various business groups to ensure assets are released to the correct holder
    • Prepare treasury directions to issue share certificates
    • Process cash and dividend cheque payments in Canadian and foreign currencies, using an online banking system, and responsible for providing the correct enclosures when mailing cheques to holders
    • Coordinate mailings as required
    • Report monthly tax remittance amounts to government tax agencies in Canada and the U.S.
    • Prepare annual tax receipts for dividends disbursed to holders
  • Respond to routine shareholder inquiries within a two business-day turnaround and in the case of inquiries requiring further investigation, a five business-day turnaround
  • Prepare statistical reports to track shareholder communications and progress on other projects as required
  • Assist with the coordination of interim financial report mailings to shareholders including the timely receipt of mailing material to the transfer agent or mail house
  • Maintain routine datasets and perform data reconciliations to support different business functions in the department, such as budget and expense management, various statistical reports, officer change tracking and reporting
  • Operate in various business and data management systems and assist with analytics, process updates, testing, documentation, communications and projects as required
  • Provide support to the department’s Records Officer, including regular review and maintenance of records, storage requests, and destruction in accordance with the Corporate Records Retention Schedule
  • Generate purchase orders and process invoices for payment for the Corporate Secretary’s Department
  • Maintain the organization of the storage room and inventory of department supplies

  • Proficient with MS Excel and data analysis
  • Bilingual – French/English an asset
  • Advanced analytical skills; logical
  • Highly attentive to details
  • Advanced organization and prioritization skills; ability to execute project plans and monitor workflow and effectiveness
  • Strong comprehension skills; effective written and verbal communications
  • Strong interpersonal skills; ability to coordinate and collaborate with internal departments and external service providers
  • Strong Client focus and service
  • Knowledge of business systems, databases and tools
  • Knowledge of accounting concepts
  • Ability to independently problem solve
  • Ability to escalate complex issues with the accompaniment of facts and basic research results

 

Educations and Experience :

  • 1-3 years of experience in a business analyst and/or business processes, project team role
  • Business and/or computer science degree, preferred
  • Experience in client/shareholder service in a publicly traded company and/or financial services organization
  • Experience in dealing with projects, project plans and teams
  • Canadian Securities Course, an asset

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
